2 nights hotel will be booked at the Gaylord Rockies (Friday and Saturday) for all registrants*
*Rooms are not available for attendees who reside/work in the greater Denver, Colorado area
**This is a voluntary event, offered as a professional growth opportunity. Food, airfare and hotel are complimentary, but hours for travel (unless PTO is used) and attendance (Sat and Sun) will NOT be paid.

Q: Is attendance optional or required?
A: Event participation is fully optional for all attendees. This program is being offered as a professional development opportunity only. Lodging, airfare and planned meals as indicated on the agenda will be provided for attendees. Program attendance and/or travel time are NOT paid and should not be clocked in your weekly hours.
Q: Should I/Can I/Do I need to put in PTO for Friday if I am traveling?
A: Hourly team members are not required to submit PTO for time spent traveling on Friday, however, if they would like to be paid for Friday and receive a full 40 hour paycheck, they can submit PTO hours.
Since the event is optional, salaried employees who choose to travel on Friday will need to record PTO (in either 4-hour or 8-hour increments). This ensures that time away from the practice is appropriately accounted for, while still giving everyone the flexibility to attend if they wish.
Q: How do I book travel?
A: Air travel is required to be booked in Concur Travel. Every team member has an account under their work email address. If you need assistance setting up your profile, please reference this guide: Checklist - Concur Travel. Travel booked outside of Concur (or on practice credit cards) will not be reimbursable.
Q: What travel expenses are reimbursable?
A: For those 4+ hours away: Round-trip coach airfare when booked in the Concur application. Note: Seat upgrades, in flight wifi, or other amenities are not reimbursable. For those less than 4 hours away: Mileage can be submitted in Concur. Note: Fuel and other travel expenses are not allowed.
Rental Cars will not be reimbursed
Economy Airport parking will be reimbursed at your home airport. Note: Premium or upgraded parking is not eligible for reimbursement
Uber/Lyft: upon arriving in Denver please coordinate rides to the hotel. Single rides from Denver will not be reimbursable.
Q: How do I book hotel?
A: Hotel rooms will be booked for all participants as part of registration – no action is required by participants prior to arrival. Upon check-in, participants will provide a valid ID and personal credit card for incidentals to gain access to the room.
Q: Will rooms be shared? Can I request to share with a specific person?
A: Yes, rooms will be shared. By default, team members from the same practice will be assigned to share rooms as appropriate. If you have a special request that can be indicated on the registration form.
Q: What time should I book my return flight on Sunday?
A: The event ends at 11:00am, so the earliest return departure we recommend booking is 1:30pm or later. This ensures time to get to the airport and through security.
Q: What is the dress code for the event?
A: Please plan for casual office attire (non-clinical), jeans (without rips, tears etc) are acceptable as well.
